This notice explains how LBM Developments Ltd handles personal information in connection with the BrakerBase software service.

Information we may process

Account and user details; business contact information; login/security records; customer/order contact and delivery data entered by subscribers; donor vehicle and parts data where it contains personal information; invoices and transaction references; support communications; audit/security events; subscription/billing identifiers; and technical information needed to secure and operate the Service.

Why we use information and lawful bases

We use information to provide and administer the Service and subscriptions, authenticate users, support customers, keep accounts secure, process billing, meet legal obligations, maintain business records and protect legitimate interests in preventing fraud, misuse and service disruption. Where a subscriber enters its own customers’ personal data, the subscriber will normally determine the purpose of that processing and the Provider processes it on the subscriber’s instructions under the Data Processing Agreement.

Who information is shared with

Information may be processed by contracted hosting, database, image-storage, payment and communications providers required to deliver the Service, and by external sales/shipping services a subscriber chooses to connect. We may also disclose information where required by law or to establish, exercise or defend legal rights.

International processing

Some service providers or connected platforms may process information outside the UK. Where required, appropriate legal safeguards must be used. The exact sub-processors and transfer arrangements should be maintained and reviewed by the Provider as part of commercial launch governance.

Retention

We keep account and operational data while the subscription is active and for an appropriate period afterwards for support, recovery, legal, accounting and dispute purposes. Security and audit records may be retained for a defined security period. Backups may expire on a separate cycle. Final retention periods should be documented in the Provider’s retention schedule before paid launch.

Your rights

Depending on the circumstances, individuals may have rights to access, correct, erase or restrict personal data, object to certain processing, request portability, and complain to the Information Commissioner’s Office. Where data was entered by one of our subscriber businesses, requests may need to be handled by that subscriber as controller.

Security

The Service uses business data separation, access controls, secure sessions, audit logging, form protection and encrypted integration credentials. No online service can guarantee absolute security.
